Director of Advancement Gift Services

The Director of Advancement Gift Services provides leadership and strategic direction for all aspects of the receipt and processing of gifts and pledges, communicating with internal and external clients and constituencies, executing strategies for continuous business process improvement. The director oversees the Donor Services team providing services to all University constituencies for the transmission of gifts or receipt of data relating to the recording, reconciling and reporting of donor giving, account set-up and maintenance.  

Duties and responsibilities:

Develop and direct the use of Raiser's Edge for gift batch processing, overseeing the area team responsible for batch data entry and gift maintenance and pledge processing; 

Develop and monitor the posting process to Financial Edge, and serve as internal expert in matters relating to the reconciliation of transmittals to the university general ledger. Interact regularly with accounting manager in the office of the Comptroller;

Maintain solid understanding of CASE standards, NCPG reporting guidelines and IRS charitable contribution guidelines, including the use of quid pro quo for athletic ticket holders. Stay abreast of emerging trends in the field of philanthropic gift recording, reporting and advancement services;

Execute plan to expand online giving presence and e-Philanthropy programs. Work with representatives in Annual Giving and Alumni Relations to implement programs and enhancements;

Work with colleagues in Advancement Information Services on developing, refining and sustaining the database infrastructure and functionality including the maintenance of tables and fields relating to giving data;

Provide for the completion of giving related surveys, such as VSE, as well as routine donor mailings of pledge reminders and quarterly giving summaries. See to the development and management of system audit reports that regularly review data and pre-defined reports to confirm accuracy and identify potential risks with custom processes and reports;

Stay informed on issues of donor privacy and record management, collaborating with Sr. Advancement Information Officer on development of policies and procedures for the Advancement division;

Collaborate with internal and external departments:
- Collaborate extensively with Donor Relations on matters relating to donor acknowledgment and recognition. Implement scholarship tracking system in Raiser's Edge.
- Facilitate special recording and reporting initiatives for Campaign office.
- Serve as functional expert and liaison to Planned Giving. Be knowledgeable in general planned giving vehicles and instruments to direct the use of Raiser's Edge for recording planned gifts and linking with PG Calc information.
- Maintain relationship with the Office of Research and Sponsored Programs and direct the verification and recording of campaign reportable grants in Raiser's Edge.
- Alumni Relations and Special Events to design and enable the effective use of systems for event registration processing.
- Serve as area liaison with Annual Giving, collaborating to efficiently process phonathon donations, and serve as AIS lead on the annual Community Campaign initiative.
- Foster collegial interaction with Athletics Department for efficient recording of donations and season ticket renewal transactions.
- Haggerty Museum to design and enable effective processes for the recording and tracking of memberships, gifts and gifts-in-kind.

Prepare an annual budget for the Advancement Gift Services program as well as annual operating plans, goals and objectives and work plans. Supervise and monitor the performance of professional and support staff and conduct regular staff evaluations during which performance and standards issues are discussed; encourage the professional development of these individuals, both in productivity and in job skills and professional development.

QUALIFICATIONS

Required Qualifications:

Bachelor degree required. 3-5 years of professional experience in non-profit gift processing or donor services and/or related field, along with a basic understanding of accounting.

Candidate must possess the ability to work independently and collaboratively and exhibit aptitude for planning and management. Interpersonal and analytic skills are required along with excellent written and oral communication skills. Experience working in a team environment, and the ability to adapt to a fast paced and growing organization with multiple priorities and deadlines.  

Preferred Qualifications:

Knowledge and demonstrated use of Raiser's Edge or other fundraising enterprise application strongly preferred. Advanced skills in Microsoft Office, especially Microsoft Excel and Word desired.

Background directing the work of others is also preferred.
