Access

Holdings are available for public use, although patrons from off-campus must obtain either a daily Limited Research Pass or Annual Research Pass.  For more information please see the Libraries' Visitor Policy.  Some collections may also be subject to restrictions placed by donors or university offices.  All researchers sign a registration form that includes an agreement to abide by rules governing use. Access to records is provided through archival descriptive inventories, and also MARQCAT, the Raynor Memorial Libraries' online catalog.

To insure the availability of records and audio/visual equipment, researchers visiting from outside the Marquette campus are asked to write or phone in advance. Nearly one-half of all use during the past 12 years has been from outside the university. User service and an expanding academic support role remain predominant commitments of the department.

Interlibrary loan borrowing is available for some materials described in these guidelines.

Services and User Fees

The Department of Special Collections and University Archives provides reference service with access to all non-restricted materials to anyone in the Marquette community or general public.

Materials may be copied, as long as the copying process does not harm the originals. Photocopying must be done by the archives staff.  Large orders may require a few days to complete.  Duplication audiovisual materials, including photographic reprints, are also available for a fee, assuming no copyright restrictions apply. Current rates for duplication services are available on the department Website.

Lap-top or pocket computers are permitted in Prucha Archives Reading Room; all other equipment must be cleared by the Archives staff.

Archivists are subject specialists in their respective areas and may be available to offer consultations, present lectures, or prepare special exhibits with appropriate advance notification. The University Archivist is available to offer records management advice to the Marquette community.

Reading Room Rules

To safeguard the valuable and unique materials housed within the Department of Special Collections and University Archives, researchers are requested to observe the following rules:

  1. Coats, briefcases, book bags, and other personal property not essential to research projects must be placed on the coat rack at the entrance.
  2. Materials are to be used only in the reading room under the supervision of department staff. The quantity of materials provided for examination at any one time may be limited.
  3. Smoking and the consumption of food and beverages are not permitted in the reading room.
  4. Fountain pens, felt-tipped pens, bottles of ink or similar writing instruments cannot be used. Researchers are asked to use pencils.
  5. Materials must be handled with care; they must not be leaned on, written on, folded, or otherwise handled in any way likely to damage them.
  6. The existing order of documents within each folder and box should be maintained. If there is any doubt as to the order or if there is apparent damage, please notify the room attendant.
  7. Photocopies will be provided for the researcher's personal use; they must not be further reproduced. Reproduction of photographs is done by the University's Instructional Media Center. Supplying a photocopy or photograph is not authorization to publish.
  8. Permission to publish from any unpublished documents, beyond the bounds of " fair use," must be obtained from the holder of copyright. It is the researcher's responsibility to secure that permission. (The revised copyright law, which took effect in 1978, protects unpublished material for the life of the author plus fifty years. In addition, all unpublished material created prior to 1978, except that in the public domain, is protected at least through the year 2002.)
  9. The use of certain correspondence and other material is restricted by statute, by office of origin, or by donors, usually to protect the privacy of living persons. The researcher must assume responsibility for fulfilling the terms connected with any restricted material. For the protection of its collections the department also reserves the right to restrict the use of materials which are not processed, materials of exceptional value, and fragile materials.

NOTE: Researchers in the Department of Special Collections and University Archives are required to read and sign the above form. In assisting users, staff members often become aware of research projects which are closely related or parallel. Most users find it helpful to know about researchers engaged in similar projects. On signing the form in the Reading Room, researchers are given the option of checking a box at the bottom of the rules sheet if they wish to have their name and the information on their research shared. If they do not check the box, the nature of the user's research will be considered strictly confidential.
