Requesting a Mailing List
To request a mailing list (either address
labels
or an electronic
file), follow these procedure(s):
Alumni and friends of the university: Millennium
- Contact Missy Lind in University Advancement or contact the appropriate college advancement officer or development director for gudiance
- Request will be completed within 10 business days or less
- Note: E-mail
lists will be sent directly to the vendor and not forwarded back to the
department
Faculty and staff: HR/Payroll
- E-mail request for labels to
the designated
individual in your area with cc: Amanda Gottheardt. These contacts will have access to
pre-configured lists. If you have
additional needs,
the individual contacts in each area will work with you to determine if
the request can be fulfilled.
- Providing labels is the responsibility of the requesting department and
can be obtained from our preferred office supply vendor:

These are currently a special order, so allow time for delivery.
- The above listed labels can be used in your Lanier copiers/printers. Please use
the following process when utilizing the Lanier equipment
(print drivers may vary and may not be exactly as listed below):
-Print
-Properties
-Paper tab
-All pages/Type: Labels
All pages/Input Tray: Bypass tray (then place your labels in the tray)
- To request an electronic list to be provided to an off-campus vendor
or other special circumstance, or to request information
not available via the 10 label
options, please send an e-mail request to Lynn Mellantine in Human Resources.
- Note: E-mail lists will be sent directly to the vendor and not forwarded
back to the department.
Current students : CheckMarq
- E-mail request or call the Office of the Registrar, attn: Kerry Grosse
- Request will be completed as calendar and schedule allows (usually within
two weeks); an electronic file will be sent to
the department or office making the
request.
- FERPA regulations will be enforced.
Prospective students (undergraduate): CheckMarq/PeopleSoft
- E-mail request or call Undergraduate Admissions, attn: Debbie Littlefield
- Undergraduate Admissions will complete the request within five business
days and will send to the department or directly
to the vendor processing the mail
piece
Prospective students (graduate): CheckMarq/PeopleSoft
- E-mail request or call Graduate Admissions, attn: Craig Pierce
- Graduate Admissions will complete the request within five business days
and will send to the department or directly
to the vendor processing the mail piece.
Remember when requesting and using these lists, it is extremely important that they be up-to-date, as this information
is dynamic.
If your list becomes outdated for any reason (i.e., a delayed mailing,
etc.), please
ask for a
new list.
Never re-use a list or keep the information
in your own database
for re-use. This can
prove to be costly and embarrassing.
Also,
it is more economical in time and money to utilize the university’s
preferred mail house vendors for sending
out any many mailings. These vendors are able to receive an electronic file
of the names, print the recipient’s
names directly on the publication, assemble
the mail piece(s) and send to the post
office for
mailing.
